  1. Professional Services Notice

Northstate Bookkeeping provides bookkeeping and accounting support services. While we maintain professional standards and work to ensure accuracy, we are not a CPA firm unless specifically stated. For complex tax advice, auditing services, or certified financial opinions, you should consult with a licensed CPA or tax professional.

We work collaboratively with your CPA, tax advisor, or attorney when needed and authorized by you.

  1. Fees and Payment

Service fees are based on the scope of work outlined in your service agreement. Fees may be structured as monthly retainers, hourly rates, or project-based pricing, as agreed upon before services begin. Payment terms will be specified in your service agreement. Late payments may be subject to late fees or service suspension. Additional services outside the agreed scope may incur additional charges, which will be communicated in advance.

  1. Client Responsibilities

You are responsible for providing accurate, complete, and timely financial information and documentation. You are responsible for reviewing financial reports and statements we provide and notifying us of any discrepancies within a reasonable timeframe. You remain ultimately responsible for all business decisions and the accuracy of information submitted to tax authorities. You agree to maintain proper authorization and access to financial accounts needed for our services. You are responsible for maintaining adequate backup records of your financial documents.

  1. Privacy & Data Security

We respect your privacy and treat all financial information as confidential. Your personal and business information will only be used to provide requested services, respond to your inquiries, and as otherwise described in our Privacy Policy. We use reasonable security measures to protect your data, including secure file sharing, encrypted communications, and access controls. However, no method of transmission or storage is 100% secure.

  1. Confidentiality

We maintain strict confidentiality regarding all client financial information and will not disclose your information to third parties except:

Our liability for direct damages shall be limited to the amount of fees paid for the specific service giving rise to the claim.

Either party may terminate services with 30 days written notice. Upon termination, you agree to pay for all services rendered through the termination date. We will provide you with all your financial records and documents in our possession upon request. We may retain copies of records as required by professional standards and applicable law.

  1. Accuracy and Warranties

We will perform services with professional care and competence. However, we do not guarantee specific financial outcomes or tax results. You acknowledge that bookkeeping and financial reporting relies on information you provide, and accuracy depends on the completeness of that information.

  1. Changes to Terms

We may update these Terms & Conditions from time to time. Any changes will be posted on our website with a new “last updated” date. Continued use of our services after changes constitutes acceptance of the updated terms.
